Purchasing Specialist/ Especialista de Compras

The Purchasing Specialist must have a knowledge of the purchasing process, and a great understanding of industry standards, budgeting, sourcing, purchasing, and freight management. The candidate must develop clear communication with a project team, vendors, logistics and installation teams. Our goal is to deliver a successful project with design intent in mind, a highly organized approach to the procurement and project process resulting in on time, and on budget deliverables.

KEY RESPONSIBILITIES & EXPECTATIONS:

Project Management

- Effectively Communicate with manufacturers and distributors regarding materials, products, costs and specification information.
- Align purchasing schedule with project and supplier lead times.
- Effectively communicate with internal project teams

Purchase Orders

- Research and identify prospective suppliers.
- Negotiate purchase agreements through RFI/RFP process. Ensure project budgets are met.
- Create purchase orders, distribute for internal approval.
- Remit approved purchase orders to vendors, request acknowledgements and invoices to ensure order accuracy.
- Request shop drawings and samples, distribute to internal design team

Vendor Management

- Ensure vendor information and account detail accuracy in accounting system.
- Ensure design specifications align with vendor offerings.

Order Management

- Input order information into internal system.
- Ensure efficient shipping for each order.
- Coordinate shipping and delivery to warehouse or job site.
- Communicate order details effectively with internal project teams.

REQUIREMENTS FOR THE POSITION

- Purchasing / Procurement Management: 3+ years, degree in design/supply chain management/purchasing
- In-depth understanding of design and construction schedules, drawings, specs and the lead times
- Proven track record of purchasing for the new construction and renovation projects
- Positive attitude, a great team player. Ability to work in a fast paced and diverse environment.
- Effective communication skills.
- Outstanding attention to detail
- Skilled in negotiating FF&E costs and terms
- Shows initiative and has a solutions-focused mindset by problem-solving project issues: supplier, price, lead time, freight, and installation
- Proficient with Microsoft Office, especially Excel and Outlook. Experience with Monday.com, Jonas Premier is a plus.
