About Us
Panama Outsource Solutions is searching for a new team member to serve as a bilingual virtual executive assistant for a client in the real estate and property management field in the United States.
This role will require exceptional multitasking skills, strong communication abilities, and the capability to handle a variety of administrative tasks to ensure smooth operations for both roles. STRONG ATTENTION TO DETAIL IS A MUST. The role will be both in English and Spanish as requires advanced levels in both languages.
The position will be out of our Obarrio office. Flex schedule and work from home options may be available once the candidate has established trust with the client but are not guaranteed.
Key Responsibilities:
Administrative Support:
- Manage calendars, schedule appointments, and coordinate virtual meetings for both the real estate agent and the property manager.
- Handle incoming calls, emails, and correspondence, responding or redirecting as appropriate.
- Prepare and edit documents, presentations, and reports.
- Maintain organized files and records
- Monitoring commercial lease expiration and payments in AppFolio
- Checking underwriting data and sending contracts through DocuSign
- Assist with client communication, including follow-ups and appointment scheduling.
Qualifications:
- Proven experience as an administrative assistant, executive assistant or similar role.
- Strong organizational and time management skills.
- Excellent verbal and written communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Strong attention to detail and problem-solving skills.
- Knowledge of cash flow statements and profit and loss statements is a plus.
