Job Description: Coordination Specialist

Location: Obarrio, Panama City, Panama (On-site)

Position Overview:

Are you ready to take your career to the next level? We are looking for a proactive and detail-driven Coordination Specialist to join our fast-paced, mission-focused team. In this role, you?ll ensure compliance excellence by monitoring and reviewing visits through our Electronic Visit Verification (EVV) system (AlayaCare). Your efforts will directly support regulatory compliance, accurate billing, exceptional client care, and strong customer relationships.

From identifying compliance trends to creating actionable solutions, your contributions will be key in driving operational success and quality care delivery. Comprehensive training will be provided to ensure your success.

Key Responsibilities:

- Real-Time Monitoring: Continuously monitor scheduled visits using AlayaCare dashboards to ensure every detail aligns with compliance standards.

- Task Creation in AlayaCare: Create detailed tasks for flagged visits, enabling onshore teams to act swiftly and effectively.
- Daily Summary Reporting: Deliver clear, insightful reports that highlight patterns and keep the team ahead of compliance trends.
- Follow-Up: Ensure no flagged visit goes unresolved. Revisit flagged visits and escalate unresolved issues as needed.
- Compliance & Quality Assurance: Stay updated on payer and state-specific EVV requirements to ensure continuous compliance.
- Customer Relationships: Provide exceptional customer service by addressing client inquiries, resolving issues, and ensuring a positive experience for both clients and caregivers.
- Communication & Collaboration: Work closely with onshore teams, providing actionable feedback and maintaining seamless workflows.

What We?re Looking For:

Education:

- Work experience in customer service, payroll, healthcare, home care, or related fields.

Experience:

- Previous experience with EVV systems, scheduling, or healthcare administration is highly desirable.

Key Skills for Success:

- People Skills: Ability to effectively manage interactions with clients and caregivers, even in challenging situations.
- Patience: Skilled in assisting older clients and providing support with empathy and understanding.
- Attention to Detail: A keen eye for discrepancies and non-compliance; this role requires managing many moving parts.
- Time Management: Strong organizational skills to prioritize tasks and meet deadlines effectively.
- Customer Service Skills: Dedicated to delivering a peaceful and supportive experience for clients and caregivers alike.

Technical Skills:

- Technology-oriented with the ability to navigate dashboards, generate reports, and accurately record data.

Communication:

- Fluent English (C 1 level) is mandatory, with clear, concise, and actionable spoken and written communication skills.

Problem-Solving:

- Ability to spot trends, propose solutions, and maintain a compliance-focused approach.
