Job Summary: Heya is hiring a Bookkeeper to oversee accounts receivable, accounts payable, and commission tracking for an insurance brokerage. This role requires accuracy, attention to detail, and strong organizational skills to manage financial operations, vendor payments, and commission entries.
Job & Responsibilities:
- Process incoming ACH, EFT, and check payments;troubleshoot discrepancies.
- Obtain and upload commission statements to internal systems.
- Track, reconcile, and report on insurance commissions across departments.
- Create new policy records in the commission system and ensure timely entries.
- Pull weekly/monthly reports and assist with securities/VUL payment processing.
- Generate bi-monthly reports such as ?Actual vs. Expected? and ?Commissions Not Received.?
- Manage APS reimbursement processes by coordinating with carriers and internal teams.
- Handle vendor payables in QuickBooks Online (QBO), including data entry, coding, and document management.
- Reconcile credit card accounts and ensure proper approvals and uploads into QBO.
- Maintain and update financial process documentation.
- Support internal audit, summaries, and reporting requests.
- Identify and recommend process improvements.
- Communicate regularly with the Controller and escalate any issues or risks.
- Perform other related tasks as needed.
Requirements:
- Minimum 2years of bookkeeping or accounting experience.
- Familiarity with GAAP accounting principles.
- Experience with QuickBooks Online and Microsoft Office Suite.
- Strong understanding of confidentiality and data compliance.
- Previous experience in the insurance or financial services industry is a plus.
- Degree in Accounting or Finance is a plus.
- Excellent attention to detail, organizational skills, and time management.
- Self-starter with the ability to work independently and collaboratively.
- Strong communication, analytical, and problem-solving abilities.
