The Bilingual Onboarding and Offboarding Coordinator (Transition in and Out Coordinator) oversees the successful onboarding of new clients and offboarding of departing clients. This role serves as the primary point of contact for transitionrelated activities, ensuring all operational, financial, vendor, and administrative tasks are completed accurately and within established timelines.
Essential Duties and Responsibilities
Transition In (New Client Onboarding)
? Coordinate the onboarding of new communities, clients, or accounts.
? Review management agreements and transition documentation.
? Collect governing documents, financial records, contracts, owner rosters, and tax
information.
? Coordinate setup of bank accounts, billing schedules, assessment structures, and
accounting records.
? Ensure all required information is submitted for system set-up and operational readiness.
Transition Out (Client Offboarding)
? Coordinate the transfer of records to the incoming management company or client.
? Prepare final financial reconciliations and account reviews.
? Ensure vendor notifications and contract terminations are completed.
? Facilitate transfer of owner records, governing documents, and operational files.
? Coordinate closure or transfer of bank accounts and system access.
? Ensure compliance with contractual and legal document retention requirements.
Project Management
? Maintain detailed transition trackers and status reports.
? Monitor deadlines and identify potential obstacles.
? Coordinate multiple transitions simultaneously.
? Escalate critical issues and provide regular updates to leadership and stakeholders.
? Develop and improve transition processes and standard operating procedures (SOPs).
Communication & Relationship Management
? Serve as liaison between boards, clients, branch leadership, accounting teams, vendors, and third-party partners.
? Provide timely status updates throughout the transition process.
? Respond to inquiries and resolve transition-related concerns.
? Build strong working relationships with internal and external stakeholders.
Location
?Excellent attendance and punctuality?is?a MUST.??The position?is?will begin in our?Obarrio?office for the first 90 days. Our office is close to the Via Argentina metro station. After 90 days, candidates for strong performance may be able to transition to work from home, with client approval and an appropriate work from home set up. Work from home is a privilege and is not guaranteed. ?Please only apply to this position if you can regularly make the commute without issues.

Requisitos:
? High School Diploma or equivalent; Associate's or Bachelor's degree preferred.
? 2+ years of administrative, project coordination, property management, HOA management, or client transition experience preferred.
? Strong organizational and project management skills.
? Excellent written and verbal English and Spanish communication skills.
? Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Teams).
? Ability to manage multiple priorities in a fast-paced environment.
? Strong attention to detail and problem-solving abilities.
